The Office of the College Secretary (OCS) manages academic records and transactions for the College of Engineering and Agro-Industrial Technology University of the Philippines Los Baños (CEAT-UPLB). CEAT has faced consistently low graduation rates, especially for students who entered in 2018 and 2019, motivating the introduction of the CEAT Student Progress Monitoring Flowchart (SPMF) in July 2022. However, SPMF faces challenges such as manual data entry, validation issues, and low data visibility, causing considerable processing time. This study aims to design an Academic Progress Monitoring Information System (APMIS) to improve efficiency and integrate business intelligence dashboards to cut data access time. The research involved system analysis, system design, system implementation, and testing and validation. Initial data gathering identified issues, design phase utilized use case diagrams, data flow diagrams, and entity relationship diagrams. Implementation included creating UI prototypes with Figma. The designed dashboard and UI interfaces (OCS, Adviser, and Student) received high SUS scores of 90, 95, 86.25, and 92.50, respectively, all indicating "best imaginable" rating. Usability testing revealed significant time reductions: 99.74% decrease in accessing summary data (from 90 minutes to 0.233 minutes), 95% reduction in adviser review time (0.65 minutes), and 89% reduction in student review time (1.65 minutes). Thus, the study demonstrated the APMIS's ability to enhance progress monitoring efficiency. This design serves as a credible framework for actual development and deployment. Scalability of the system to university level still requires tailor-fitting to each of the colleges and requires a dedicated team for system maintenance.
